Accountant

Accountants oversee and execute the detailed Accounting/Accounts Receivable functions for multiple association management clients. The accountant is responsible for preparing accurate and timely monthly financial statements; day-to-day processing and auditing of account transactions; maintaining account records through required record keeping policies and procedures, understanding and application of auditors’ instructions and additional special projects. Accountants often interact with clients, inter-departmental personnel and vendors, and must be able to show professionalism and exemplary customer service. This position requires advanced accounting knowledge, prior multi-client accounting context, customer service skills, and ability to multi-task and meet deadlines.

Administrative Assistant

Administrative Assistants perform various administrative functions following standardized methods and procedures. Candidates must be able to multi-task and perform semi-repetitive operations in a fast-paced environment, with the ability to adjust priorities as needed. In addition, this position is the first line of support for Community Association Managers, and is responsible to answer phones, routing messages, and assist both internal personnel and clients. Clerical tasks include (but are not limited to) scanning, faxing, data entry, and mail processing. Excellent communications skills are required.

Community Association Manager

Hawaiiana’s Community Association Managers are responsible for providing managerial support to a portfolio of condo and community associations in capacities including maintenance, budgeting & financial concerns, insurance, legal issues and compliance. The Community Association Manager is the first line of contact with the boards of directors of Hawaiiana’s client properties, and provides superior communication, follow-through, and customer service in all respects. Candidates must have computer skills with a working knowledge of Microsoft Office applications, and must be able to attend evening board meetings. Experience with budgets and reading/understanding financial statements is helpful. The ability to multitask, organize and maintain multiple projects is essential to this position.

Covenants Specialist

The Covenants Specialist conducts regular inspections of multiple community associations on a monthly basis, for the purpose of enforcement of the association’s CC&R’s (Covenants, Rules and Regulations) and their architectural and landscaping standards. The Covenants Specialist is responsible to administer notifications for violations, issuance of fines, and working directly with the Community Association Manager and association board of directors.

HUD Housing Specialist

Description: The HUD Housing Specialist is directly responsible for marketing of “HUD” (Housing and Urban Development) properties and leasing of units. This position assists in developing and implementing a marketing plan and advertisements, provides property tours, shows units, logs traffic, completes follow-up, processes rental applications and prepares leases. The Housing Specialist is also the contact person for communication with residents, and provides assistance with the move-in/move-out process and other needs. Other duties include collecting deposits, conducting unit and property inspections and participating in the property’s recertification process.

Office Services Assistant

The Office Services Assistant provides support to the Administrative Assistant staff by fulfilling daily work orders for copying and mail processing, which may include stuffing, folding, sorting and labeling. This employee is also responsible for postal functions for all Hawaiiana employees, including opening, sorting and distribution of company mail. The Office Services Assistant uses office equipment including copiers, postage machines and folding machines to complete tasks. This position also reconciles monthly inventory, and assists in the lifting and moving of file boxes.

Payroll Specialist

Position Summary: Duties and responsibilities include processing HOA payroll, maintaining time keeping records, reviewing payroll and payroll reports for accuracy, and maintaining accurate set up and tax filings federally for multiple clients.

Requirements: Must currently reside in Hawaii. High school diploma or equivalent. Associate degree or two years of college-level coursework in accounting, business or related area is required. Relevant experience may substitute for the degree requirement on a year-for-year basis. Three years of progressive work experience in complex payroll processing with quarterly and/or annual payroll tax reporting responsibilities.
